Identifying the Schedule Mismatch
Suppose you have a hypothetical $4,500 booking for the Miller wedding. The initial accepted quotation specifies a field for Coverage: 2:00 PM to 10:00 PM with a quantity of 2 Photographers. Based on this accepted document, you hire a second photographer and book them for a 2:00 PM start time. Two weeks before the date, the couple requests an extra hour of getting-ready coverage. You issue a revised quotation for Coverage: 1:00 PM to 10:00 PM with an updated hypothetical total of $4,900.
When the client accepts this revised quote, compare the new quote fields directly against your active project record. The mismatch is clear: the revised quotation lists a 1:00 PM start time, but the existing project schedule still lists 2:00 PM. The second photographer assigned to the job has a calendar block and a call sheet for a 2:00 PM arrival based on the older information.
The decision of how to proceed depends on spotting this discrepancy before the event. If the updated quotation is filed away without cross-referencing the project schedule, the second photographer will arrive at the originally scheduled time.
Resolving the Mismatch with Your Crew
To resolve this mismatch, edit the project schedule to reflect the 1:00 PM start time from the accepted quotation. Once the project record matches the quotation, copy the updated schedule and send it to your second photographer, asking them to explicitly confirm they can arrive for the new 1:00 PM start time.
If the second photographer confirms the new time, the project schedule and the crew schedule are aligned. If they cannot accommodate the earlier start time, you must either find a replacement second photographer or ask the client to revise the timeline again. Resolving the mismatch means the crew members attending the wedding are working from the exact same hour-by-hour plan as the client who signed the quote.
If you only shoot solo and manage your dates in a standalone digital calendar application, you do not have to coordinate a second photographer's schedule. In that scenario, manually updating the start time on your standalone calendar block is an adequate method for tracking the late revision.
Vendor Capabilities for Project Tracking
Different studio tools handle project timelines and quoting in distinct ways. HoneyBook project dates can represent an event, a final deliverable due date, a working period or project end date. Its documentation allows more than one project date.[1]
When structuring your options for clients, quotation formats can also vary. Studio Ninja offers Pick & Choose quote templates and Fixed quote templates. The fixed type presents a fixed list of packages and products.[2]
Testing the Quotation Prefill in RevePod
You can test a workflow for late updates by drafting a sample job in RevePod. RevePod has a native quotation builder for events, crew role quantities, and deliverables. You can send a share link that lets the client view, accept, or request changes without logging in.
When creating a project from an inquiry with an accepted quotation, RevePod can prefill the schedule, deliverables, payment total, and quote details. The owner reviews the prefill before saving. This prefill step provides an opportunity to verify the updated times against your expectations before generating the project record.
Keep in mind that prefilled crew roles and quantities are not named crew assignments or confirmation of availability. A quotation crew quantity merely establishes that the project requires a second photographer. You still need to manually assign a named person to the updated schedule.
Checklist for Verifying a Late Scope Change
Use the following checks to update your project records when a quotation changes.
- Compare the start and end times on the accepted quote against the current project schedule.
- Check the crew role quantities on the quote against the number of people currently assigned.
- Verify that any newly added deliverables on the quote appear in the project record.
- Identify any assigned crew members who need an updated timeline.
- Send the revised project schedule to the assigned crew members.
- Request a written reply from each crew member confirming the revised times.

Check the agreed offer against one project
RevePod has a quotation builder for event coverage, crew, services and deliverables, with a client link and PDF. When creating a project from an enquiry with an accepted quotation, the offer can prefill event, deliverable and payment details. Check those records against the agreed scope.
- Build an example quotation from your services and packages.
- Inspect the client link and PDF before sharing the offer.
- After acceptance, create the project from the enquiry and review its event, deliverable and payment records.
Quotation access depends on your plan. Your team still confirms the agreed scope and checks project records; the software does not certify that every client commitment has been fulfilled.
